Seremara Safaris LTD (“Seremara Safaris”, “we”, “us”, “our”) respects your privacy. This policy explains what personal information we collect when you enquire about or book a safari with us, how we use it, who we share it with, and the rights you have over it. It applies to our website, WhatsApp, email and phone communications, and any booking made with us.

Seremara Safaris LTD is a licensed tour operator registered in Kenya, registration number PVT-ZQULPDJ7, with its registered address at Karen Sultan House – Wing-B, 116 Ngong View Road, Karen, Nairobi, Kenya. 2. Information We Collect

We collect information that you give us directly, and some information automatically through our website. This includes:

  • Identity & contact details – full name, email address, phone/WhatsApp number, country of residence.
  • Travel document details – passport number, nationality, date of birth and visa information, where required by airlines, park authorities (e.g. Kenya Wildlife Service), lodges/camps, or immigration for your safari to proceed.
  • Payment information – bank transfer or card payment confirmation details needed to process your deposit and balance payments. We do not store full card numbers; payments are handled through our bank or payment processor.
  • Trip preferences & special needs – dietary requirements, medical or mobility needs, and travel preferences you share with us so that lodges, camps and drivers/guides can accommodate you properly.
  • Communications – the content of enquiries and messages you send us by email, our website contact form, WhatsApp, or our live chat widget.
  • Website usage data – pages visited, time on site, browser/device type and general location, collected automatically through cookies and analytics tools (see Section 6).

3. How We Use Your Information

We use your personal information to:

  • Prepare quotations, confirm bookings and process payments;
  • Arrange your accommodation, transport, park entries, and flights with our suppliers;
  • Communicate with you about your enquiry or trip, including sending itineraries, invoices, receipts and travel documents;
  • Respond to questions, requests and complaints;
  • Comply with legal, tax and regulatory obligations in Kenya;
  • Improve our website and services; and
  • Send you occasional offers or travel updates, but only where you have opted in to receive these — you may unsubscribe at any time.

4. Legal Basis for Processing

We process your personal information because it is necessary to perform the safari booking contract between us, because you have given your consent (for example, to marketing communications or non-essential cookies), because we have a legitimate business interest in operating and improving our services, or because we are required to do so by law (for example, tax and immigration record-keeping).

5. Who We Share Your Information With

To deliver your safari, we share only the information necessary with:

  • Accommodation providers – lodges, camps and hotels, to confirm your stay and any special requirements;
  • Airlines and charter/transfer operators – to book flights and transfers;
  • Park and conservancy authorities – such as Kenya Wildlife Service, county and conservancy offices, for park entry permits;
  • Payment processors and banks – to process deposits, balances and refunds;
  • Government or regulatory authorities – where required by Kenyan law (for example, immigration or tax authorities).

We do not sell or rent your personal information to third parties for their own marketing purposes.

6. Cookies, Analytics & Chat Tools

Our website uses cookies and similar technologies to remember your preferences and understand how visitors use our site. We use:

  • Google Analytics / Google Tag Manager – to understand website traffic and improve our content;
  • Live chat widgets (such as Tawk.to) – to let you chat with our team directly from the website;
  • WhatsApp click-to-chat – to let you message us directly on WhatsApp; messages sent this way are also subject to WhatsApp’s own privacy policy.

7. International Data Transfers

Because many of our clients travel from outside Kenya, your information may be transferred to and processed in countries other than your own (for example, where an international payment processor, airline or booking platform you have used is based). Where we transfer personal information internationally, we take reasonable steps to ensure it continues to be protected to a standard consistent with this policy.

8. Data Retention

We retain booking and financial records for as long as required under Kenyan tax and company law (generally up to 7 years), and other personal information only for as long as necessary to fulfil the purposes described in this policy, after which it is securely deleted or anonymised. Marketing communications data is kept until you unsubscribe or withdraw consent.

9. Data Security

We use reasonable technical and organisational measures to protect your personal information against unauthorised access, loss, misuse or disclosure, including restricting access to booking and payment information to staff who need it to do their jobs, and using secure channels for payment confirmations. No method of transmission or storage is 100% secure, but we work to protect your information to industry-appropriate standards.

10. Your Rights

Under Kenya’s Data Protection Act, 2019, and (where applicable, for clients travelling from the EU/UK) the General Data Protection Regulation, you have the right to:

  • Access the personal information we hold about you;
  • Request correction of inaccurate or incomplete information;
  • Request deletion of your information, where we are not required to keep it for legal reasons;
  • Object to or restrict certain processing, including marketing;
  • Withdraw consent at any time, where processing is based on consent; and
  • Request a copy of your data in a portable format.

11. Children’s Privacy

Our services are intended for adults arranging their own or their family’s travel. We do not knowingly collect personal information directly from children. Where minors travel with a booking, their information (such as passport details) is provided to us by, and remains the responsibility of, their parent or legal guardian.

12. Third-Party Links

Our website may link to third-party sites, including review platforms such as SafariBookings and BookAllSafaris. We are not responsible for the privacy practices or content of any third-party websites, and we encourage you to review their own privacy policies before sharing personal information with them.

13. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal, operational or regulatory reasons. The updated version will be posted on this page with a revised effective date.
